AI adoption and remote management services for small businesses

metalaxis s.r.o. is a research-based AI adoption and remote management consultancy based in Brno, Czech Republic. We help small businesses, freelancers and remote teams across Europe decide what to drop, delegate or hand to AI, drawing on EU-funded Erasmus+ research projects such as HIRER, RemWork4SMEs, AITRaIN and THRIVE.

metalaxis helps small businesses, freelancers and remote teams use AI without the chaos. We start with what you actually do every week, then decide together what to drop, what to delegate, what to hand to AI and what only you should keep doing. No tool-first pitches, no big-bang transformation projects.

Our method is grounded in our work on EU research projects about remote work, e-leadership and AI skills, including HIRER, RemWork4SMEs, AITRaIN and THRIVE.

Free AI tools for freelancers and small businesses

If you work solo or run a very small business, start with our free tools at tools.metalaxis.net. In about 20 minutes you can see which income streams earn you the most per hour and which of your weekly activities are candidates to drop, delegate or automate with AI. Versions for teams are coming later.

1. AI Work Map

A short, structured engagement to answer one question: where can AI realistically save you time, and where it shouldn’t be used?

  • We map your main income streams and the activities behind them.
  • We run a time and activity audit with you (and your team, if you have one).
  • We sort every activity into drop, delegate, automate with AI, or keep.
  • You get a prioritised list of your first three AI or delegation moves, with the tools, the risks and what “done” looks like.

Best for: owners and freelancers who feel busy all the time and want a clear starting point before paying for more software.

2. AI automation for small business, step by step

We help you put the first moves from your Work Map into practice, one at a time.

  • Write clear instructions (a delegation brief) for each task, whether it goes to an AI assistant, a tool or a person.
  • Set up and test the AI workflow with your real work, not demos.
  • Document it so it keeps working when you are not looking.
  • Review results after a few weeks and adjust.

Best for: small businesses that know what they want to hand off and need help making it stick.

3. Remote team management with AI

Remote work is where we started, and it is still where many AI projects succeed or fail. We help remote and distributed teams agree on how they communicate, meet, onboard new people and share work with AI tools.

  • Remote working agreements and meeting rules.
  • Remote onboarding checklists.
  • Healthy remote work practices, based on our EU-funded training frameworks.
  • Preparing the team for AI: what changes, what doesn’t, and who owns what.

Best for: managers of remote teams of 3 to 50 people.

4. Workshops and training

Hands-on sessions for teams, associations and training providers on using AI at work, delegation, remote leadership and wellbeing at work. Our training formats were developed and piloted with professionals across several EU countries.

Do I need an AI consultant for a small business?

Not always. Many owners can start alone with a time audit and free tools. An outside view helps when you don’t know where AI fits, your team is resisting, or data and process questions are slowing you down. Pick someone who maps your work first instead of selling a tool.

How we work with you

Frequently asked questions

How do I start using AI in my small business?

Don't start with a tool. List what you and your team do in a normal week, find which work earns the most, and sort every activity into drop, delegate, automate with AI or do. Then run one or two small pilots with a clear measure of success before you scale anything.

Which tasks should I delegate to AI first?

Start with tasks that are repetitive, follow clear rules and are cheap to get wrong: drafting routine emails, summarising meetings, sorting inbox requests, turning notes into documents and preparing first drafts of reports. Keep work that needs your judgement or client relationships, and hand high-effort, low-skill work that AI can't do to a person.

What does an AI transition cost a small business?

It depends on scope more than on tools. Many first steps use subscriptions you already pay for, and the bigger cost is your team's time to map work, test and learn. Budget for a few small pilots first, measure the hours saved, and only then invest in bigger changes.

How do you manage a remote team with AI?

Agree in writing which tasks AI may help with, what data must never go into AI tools, who checks AI output and who owns each workflow. Use AI for summaries, documentation and handovers that remote teams struggle with, and keep regular human check-ins so people don't feel replaced or watched.

Are there free AI tools for freelancers to find what to automate?

Yes. Our free tools at tools.metalaxis.net help solo owners and freelancers see which income stream earns them most per hour, rate their weekly activities and get suggestions on what to drop, delegate or hand to AI. They take about 20 minutes and need no AI experience.
